Mission

The Student Employment Office at Mars Hill College exists to provide qualified students part-time job opportunities with the wages being used to help pay for college expenses. Student Employment gives students the opportunity to work in preparation for entering the job market while meeting critical needs of the college.

MHC students

Goal
The primary goal of the Student Employment Office is to efficiently and effectively match students with meaningful work positions that meet the essential needs of Mars Hill College and the community.

Statement to Students
Students who are eligible for the Student Employment program are those who received the College Work-Study Program (CWSP) award as part of their financial aid package. If you are participating in the Student Employment program, you must review all the information available online. When finished, print a copy of the Student Acknowledgement Form, read it carefully, then sign and date it to indicate that you have read and understand the policies and procedures before you begin your work.  This is your contract.  Your supervisor must also sign and date the contract as verification of your work agreement. Please print your copy and return it to the Student Employment Office 301 Cornwell Hall with the appropriate signatures and dates.

Students workers must also complete W-4 and NC-4 tax forms annually; the I-9 Employment Eligibility form is also required. To complete the I-9, you must show 1. a passport OR 2. a picture ID - Mars Hill College ID or a valid driver's license and your Social Security card or birth certificate. You have three days after beginning your job to complete all forms. No timesheets are issued until all forms are completed.

Applying for Work
A list of available jobs is posted outside the Student Employment Office. It is the responsibility of the student to contact the supervisor listed, set a time for an interview and complete all paperwork. Deadlines for contracts are September 15 for the fall semester and March 15 for the spring semester.

MHC students

Timesheets
The student employee and the supervisor are responsible for keeping accurate records of the exact time the worker begins and ends their job.  A timesheet is provided each month after all initial paperwork is completed. Both the student and supervisor verify with their signature that the information is correct. The timesheet is due in the Student Employment Office the first day after the last working day of each month.  Exceptions are holiday periods and semester's end; at these times students and supervisors will be notified of exact due dates.  No payment is made without the completed timesheet

Work Hours
Student employees must be committed to working the entire semester, or a set number of hours as required for each pay level (see Pay Scale). The supervisor may schedule the work time based on departmental requirements, or the supervisor and student employee may schedule the work time to meet the needs of the department and the worker. Annual earnings cannot exceed the CWSP award amount.

Attendance
Student employees are expected to meet their work schedules in order to earn the total amount of their award. Workers are expected to be at work on time and attired as directed by the supervisor. The supervisor must be informed of any absence, preferably prior to the beginning of the scheduled work time. An excused absence is any absence authorized by the supervisor. A supervisor may allow time missed to be rescheduled if it is conducive to the job. Any absence that is not approved will be an unexcused absence. Student employees will be subject to the Disciplinary Action Policy for unexcused absences. Consecutive absences of three-scheduled work days will be considered voluntary quit, if prior to the end of the third scheduled workday, the worker does not contact the supervisor. An absence due to personal illness must be documented by a doctor’s signature in order to qualify as an excused absence. Participation in events designated by the college will be excused absences. Student employees will not receive pay for hours not worked.

Base—Requires minimum level of knowledge in job area.
Merit 1—Requires 1 semester experience and demonstration of increased knowledge and ability in job area (from evaluation).
Level 3 (Mastery of skill)
Base—Requires ability for leadership and to perform tasks without supervision.
Merit 1—Requires 1 semester experience and above average performance rating on evaluation.
MHC students

Payment
On or after the 15th of each month, CWSP checks are available in the Business Office (located on the second floor of Blackwell Hall). In order to receive payment for completed work or have an account credited with the payment, student workers must go to the Business Office each month.
Annual earnings cannot exceed the CWSP award amount.

Evaluation

The Supervisor evaluates participants in the Student Employment program. The evaluation provides information on the worker’s progress, guidance to improve job performance and motivation to improve job satisfaction. Evaluations are completed ONCE a semester or are based on completion of assigned tasks.

Disciplinary Action Policy
Student workers are expected to maintain standards of conduct suitable for the workplace. Student worker behavior should be based upon the Mars Hill College Code of Student Conduct as outlined in the Mars Hill College Catalog/Student Handbook. Violation of these rules, whether specifically addressed or implied, will result in disciplinary action in the following manner:

  1. 1st Violation
    Verbal warning by supervisor with the notification of warning sent to the Director of Student Employment.
  2. 2nd Violation
    Written warnings to student with copies of warning placed in the employee file and sent to Director of Student Employment.
  3. 3rd Violation
    Removal from position. The student will be responsible for seeking another position. If no other position is available, work-study funds will cease. The student will be held responsible for payment of unearned work-study funds.

Multiple Assignments
Each student is allowed one job per semester, except when a student holds a RA or RD position, or a job for which a stipend is granted, that student can be employed in another position when the second position requires a special skill and the student possesses that special skill.

Job Assignment Changes
Any participant in the Student Employment program may request a change in job assignment. However, the program does not guarantee that another position will be available.

MHC Campus

Vacation Breaks
Students will not be required to work on those days that are school holidays, as listed in the student calendar.

Worker Safety
It is the student's responsibility to wear any safety equipment required for the performance of their job. If an accident should occur, it should be reported immediately to the supervisor or to the Wellness Center.

Children in the Workplace.
(Effective 10/9/2007)
College Work Study Program (CWSP) workers are not to bring children to the area where they are performing their job duties. The presence of children during work hours is not allowed because of the potential for interruption of work, health and safety issues, and liability to the organization. Also, it is not acceptable to request that College employees take responsibility for supervision your child during their scheduled work time.
Nothing in this policy prevents children being on campus for approved College activities or brief visits.

Any manager or supervisor involved in the Student Employment program who fails to fully adhere to this policy will be disciplined accordingly.

Supervisor Responsibilities
The following activities are the responsibility of the supervisor of student employees

  • Interview job applicants
  • Select the exact number of applicants for the number of positions available
  • Provide a meaningful work experience for the student employee
  • Train students in order to motivate student to develop their fullest work potential
  • Maintain accurate records for time worked
  • Conduct evaluation to provide appropriate feedback to student

Grievance Procedure
The Student Employment program recognizes that in any relationship there is a chance that problems will develop. If a participant in the program has a complaint, he or she is encouraged to speak to their supervisor. If the complaint is not resolved after a discussion with the supervisor, or if the complaint is related to an action taken by the supervisor, the student may contact the Director of Student Employment. If the problem remains unresolved, it may be referred to a person of higher authority.
